1. In Bali tourism districts rental amount for quality villas are quoted in US Dollars.
All our villas accommodate a maximum number of guests, which is stated in our descriptions, and must be adhered to unless otherwise agreed to prior to receipt of full and final payment.
Reservations shall be for a specific number of guests, which may not be exceeded, unless this has been authorized by the “HOTRAVILLA”.
All villa guests must (in accordance with the Laws of Indonesia) be registered with the authorities within 24 hours of arrival at their destination. A photocopy of each guest’s passport or identity card will be requested by the “HOTRAVILLA” staff upon or shortly after arrival at their villa. A registration form must be promptly filled out & signed by each guest, the cost of which shall be for the account of the Lessor.
3. What’s included?
Our private villas come fully equipped with linen, towels, cooking utensils etc. Items such as toilet paper, soap, drinking water etc are supplied at the start of the rental period. As such items (mentioned above) need replacing they shall be for the account of the tenant, except for staying less than 7 nights – all are provided by the villa management.
The villa rental includes all the staffs, linen and towel changes, water, electricity, gas, and maintenance of swimming pool and garden. Any defects and deficiencies must be reported within 24 hours of your arrival otherwise it will be assumed that everything is in order.
4. What is Not Included?
The villa rental prices do not include personal, travel and cancellation insurance, travel, transportation, food and beverages, in-house massage and spa treatments and other similar extras unless priorly agreed otherwise in writing.
5. Tax and Service Charges
At all hotels in Indonesia, a standard 11% Govt. Tax and a 10% Service Charge (totaling 21%) is normally levied. When renting a private villa, there are no hidden costs, surcharges (for accommodation), staff salaries, or a management fee that is the responsibility of the guest/tenant unless specified in its villa information and will be know prior making a booking.
Some villas management will be invoiced you at the end of your stay with a service charge vary from 15% to 30% to all of your food and beverage bills, if purchased by villa staff, but absolutely no mark-up from the shop prices.
Gratuities for household staff shall be left to guest’s discretion.
6. Payments and Cancellations
A non-refundable deposit of 50% of the total cost is required to secure your booking. If you make your booking within 45 days prior to arrival full payment is required to secure your booking. Your booking confirmation must be made by email or telephone (followed by written confirmation) and will be held provisionally for three days after confirmation of reservation has been given by “HOTRAVILLA” or immediately if booking made less than 45-DAYS prior arrival.
If we do not receive within three days your provisional booking will be released. Payments can be made by bank transfer.
Final payment is due to be paid not later than 45-DAYS prior arrival date by same method as payment for deposit. We will issue an invoice at the latest 7 days prior to the time when final payment has to be made.
Failure to make the final payment within this time frame will result in automatic cancellation and deposits will be forfeited.
Deposits will be refunded in full less 2 (TWO) nights charged, if the reservation is cancelled 61-DAYS or more prior to arrival (91-DAYS for Christmas/New Year bookings). Reservations cancelled less than 61-DAYS prior to arrival (or 91-DAYS for Christmas/New Year bookings), the deposit will be forfeited.
Notice of cancellation must be received by “HOTRAVILLA” in writing.
Final payments are non-refundable.
Each villa applies its own cancellation policy. Cancellation policy specific to the villa you are about to rent is attached to booking confirmation we send.
- Cancellation has to be made in writing, either by email or fax.
- No show is subject to forfeiture of all payments you have made.
7. Terms of Payment
Payments for the letting of private villas do not follow the Travel Industry standard. Payment by Travelers cheques, and other Personal cheques will not be accepted.
1. Bank Transfer
Transfers are made to corporate bank account as informed in our invoice.
All costs related to the transaction have to be borne by you. Make sure to mention “Full Amount Guarantee” when you submit the transfer instruction.
2. Credit Card with Sign On File (SOF) method
You are required to send the following documents by :
Completely and correctly filled in Credit Card Authorization Form (CCAF).
Copy of your passport.
Copy of front side only of your credit card.
All payment will be processed in Indonesian Rupiah at a conversion rate informed in our invoice.
3. Online Payment by PAYPAL
Payment can be made through PayPal (https://www.paypal.com). Payment through PayPal is very easy, quick and safe.

8. Altering Your Booking
Altering your booking can be made in writing by either booking form or directly contact us.
Altering your booking is subject to availability.
Each villa applies its own policy on booking alteration.
Alteration to booking period can only be accepted upon availability of the villa. If your new period falls in different season where higher price is applicable, you will have to pay the additional cost accordingly. If your new period falls in different season where rental price is lower, no refund will be paid. If your new period is longer than your initial period, you will have to pay the additional cost. If your new period is shorter than your initial period, no refund will be paid. In any cases a US$50 administration fee is applicable and the new period will only be confirmed as soon as all payments related to the change are completed.
9. Check-In & Check-Out
Check-IN-Time: 14:00 PM
Check-OUT-Time: 11:00 AM
Free-of-Charge Late Check-OUT until 1.00 PM may be available and subject to our villa availability. Late Check-Out until 6:00 PM will be charged 50% of nightly rate, after 6:00 PM will be charged at full nightly rate.
10. Hirer’s Responsibility
The hirer is responsible for taking all reasonable care of the property and its contents. At the end of the hire period, the property and its contents, including all equipment, furniture, utensils, etc. The hirer shall ensure that no member of the party engages in any activity in or around the villa and swimming pool which may cause damage, offence to the neighbours, pollution to the water or damage to the structure or filtration equipment, this includes unacceptable anti-social behaviour.
11. Damage to Villa and its Contents
Except in the case of normal wear and tear, the hirer will be responsible for making good any damage to the villa or its contents which has occurred due to negligence, willful damage or irresponsible behaviour on the part of those occupying the villa or their guests. Such damage must be immediately reported to the villa manager, Private Leisure International, or their representative. The cost of the replacement or damage must be paid for by the hirer prior to departure.
Neither villa owner, HOTRAVILLA or their representatives can be held responsible for any circumstances beyond their control including, but not limited to, mechanical breakdown, illness, accident, as well as failure of any public service supply. The hirer responsible for booking undertakes that no person will suffer anything to be done which would endanger the policy of the villa owner’s insurers in respect of the villa and its contents which might make the same void or voidable.
13. Injury and Damage
HOTRAVILLA acts as a booking agent on behalf of the owners of the properties we offer and, as such, your contract is with the owner. We do not have any responsibility to compensate you for any personal injury, illness, death, loss or damage of whatever nature suffered by you, or any member of your party, during the booking period or thereafter.
14. Accuracy of Information
We always take a great deal of care to work with our owners’ to make sure that the information and photography contained in this website to the best of our knowledge is correct. However all our villas are privately-owned and therefore from time to time owners may make changes in their homes to details like decoration, furniture and fittings. All information supplied by HOTRAVILLA is given in good faith and is based upon information available at the time. All reasonable measures have been taken to ensure accuracy, but HOTRAVILLA and their representatives are not liable for any variation however caused.
15. Keys, Directions and Local Contact Numbers
Key to the villa will be held by villa manager or villa staffs. Locking the villa and taking the villa along when you leave is prohibited. Upon your arrival our representative welcoming you at the airport will give you details of persons you need to contact related to both issues with your stay at the villa or other things related to your holiday.
In the unlikely event that you have a complaint about the villa or its contents whilst on holiday, it must be reported immediately to HOTRAVILLA or its representatives who will take reasonable steps to resolve the matter on behalf and in liaison with the owner of the property. Neither HOTRAVILLA or their representatives shall have any liability for any complaint submitted after the completion of the hire period.
17. Building Work
In the event of building works taking place by local authorities, private developers or neighbours, it is important to note that we are not responsible for such work, are unable to stop such work taking place or unable to control the level of noise, neither can we be responsible for any building works that take place during a holiday.
18. Force Majeur
We regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by ‘force majeur’. In these Terms and Conditions of Hire, ‘force majeur’ means any event which we or the supplier of the service(s) in question could not, even with due care, foresee or avoid. Such events may include, but are not limited to, war, threat of war, civil commotion or strife, hostilities, strikes or other industrial disputes, natural disasters, fire, acts of God, terrorist activities, quarantine, epidemics, weather conditions, government action or other events outside our control.
1 Airport Pick up – Transfers
One of our staff will be at the airport to greet YOU on arrival and drive you and your family to your chosen villa(s), “HOTRAVILLA” [FREE OF CHARGE].
20. Flight Details
Full names should be forwarded to “HOTRAVILLA” for all guests in your party, along with flight details for arrival / departures at your earliest opportunity.
“HOTRAVILLA” reserves the right at any time; in it’s sole and absolute discretion, to refuse any person as a member of accommodation party.
“HOTRAVILLA” will not be responsible under any circumstances to refund any unused portion of with respect accommodation, tours, car rentals, including any substitutions.
If any services accommodations are substituted, “HOTRAVILLA” will at all times and in good faith endeavour to substitute services accommodations of a comparable type.
“HOTRAVILLA” disclaims any and all liability for property loss or damage, as well as injury including death sustained by any person whilst residing at a private home or villa, or whilst engaged on any tour, whether the loss or injury occurs as a result of breach of contractual obligations of “HOTRAVILLA”, its servants, employees or agents.

# Be aware that security deposits are required for some villas. If required, a deposit will requested by the villa Manager upon arrival and will be refunded in full on day of departure, unless damages/repairs need to be performed, in which case refunds will be made by Cash or transfer, less cost of damages.
